These Terms and Conditions ("Terms") govern all services provided by Lumina Pulse Productions, including but not limited to event planning, production, logistical support, talent booking, equipment rental, and custom installations (collectively, "Services"). By engaging with our Services, you agree to be bound by these Lumina Pulse agreement terms. These terms are applicable to all engagements including electronic music festival planning, rave party logistics, and all related services.
Acceptance of a proposal, quote, or work order issued by Lumina Pulse Productions, whether electronically or through written signature, constitutes explicit agreement to these Terms. A binding contract for event production is formed upon such acceptance, outlining the specific services, deliverables, and timelines. By proceeding, you acknowledge your understanding of these event service terms.
Lumina Pulse Productions reserves the right to amend these Terms periodically. Notification of changes will be provided via our website or direct communication. Continued use of our Services after such notification constitutes acceptance of the updated Terms. The effective date of these Terms is December 15, 2023, version 2.1.

Service-Specific Terms and Conditions

Each of our specialized services comes with detailed provisions to ensure smooth operation and clear expectations. These delineate specific responsibilities and guidelines for various aspects of event execution.

For full-scale electronic music festival planning and rave party logistics, Lumina Pulse Productions will adhere to the agreed-upon timeline and deliverables specified in your service agreement. Any significant deviations must be mutually agreed upon in writing. This covers all aspects of the event production contract, from initial concept to execution. Review our specific event service terms for timelines and responsibilities.
All sound system rental and lighting equipment is provided under a specified rental agreement. Clients are responsible for any damage incurred during the rental period outside of normal wear and tear. A detailed inspection will be conducted upon return. Damage policies and return procedures are explicitly outlined.
Artist booking and management services are subject to specific contracts with each artist and their representatives. Cancellation and substitution policies will be clearly communicated. While we strive to ensure all booked talent performs, unforeseen circumstances may necessitate changes.
For custom stage design, lighting, and immersive art installations, intellectual property rights and usage agreements will be specified in the individual project contract. Clients agree not to reproduce or distribute designs without explicit written consent from Lumina Pulse Productions.

Payment Terms & Cancellation Policies

Understanding our clear financial expectations and cancellation protocols is essential. We've structured these policies to be fair and transparent for all parties involved in an event production contract.

A non-refundable deposit, typically 50% of the total estimated cost, is required upon contract signing to secure services. Remaining balances are due based on a schedule outlined in your specific event production contract, usually 30 days prior to the event date. Payments can be made via bank transfer, credit card (subject to processing fees), or other agreed-upon methods.
Cancellation of services initiates a refund structure based on the proximity to the event date. Cancellations made 90+ days prior to the event are eligible for a 50% refund (excluding the non-refundable deposit). Cancellations within 30-90 days receive a 25% refund. No refunds are issued for cancellations within 30 days of the event. All cancellations must be submitted in writing.
Lumina Pulse Productions will not be liable for any failure or delay in performance due to circumstances beyond reasonable control, including acts of God, war, terrorism, pandemics, government emergency orders, or natural disasters. In such cases, efforts will be made to reschedule or offer credit for future services, subject to mutual agreement and mitigation of costs already incurred. This applies to all Los Angeles festival terms and other major event agreements.
Late payments may incur a penalty of 1.5% per month or the maximum permissible by law, whichever is lower, calculated daily from the due date. Lumina Pulse Productions reserves the right to suspend services or initiate collection procedures for overdue invoices, with all associated collection costs borne by the client.

Liability, Insurance, and Risk Management

Our commitment to safety and responsibility is paramount. These provisions clearly define the scope of liability and insurance requirements, ensuring a secure environment for all events.

Lumina Pulse Productions maintains general liability insurance coverage. Our liability for any claims arising from our Services is limited to the total fees paid by the client for the specific services giving rise to the claim. We are not responsible for damages, losses, or injuries caused by third-party vendors, venue issues, or client-supplied equipment. Clients are advised to review the event service terms for a full understanding of liability allocation.
Clients are required to obtain and maintain their own event-specific insurance, including general liability and, where applicable, liquor liability, with Lumina Pulse Productions named as an additional insured. Proof of insurance must be provided at least 30 days prior to the event. This is crucial for managing overall event liability insurance.
Clients agree to indemnify and hold harmless Lumina Pulse Productions from any claims, damages, or expenses (including legal fees) arising from their event, guests, or third-party vendors, except where caused by the gross negligence or willful misconduct of Lumina Pulse Productions. Assumption of risk is a key component of our event production contract.
Clients and their designated representatives are responsible for adhering to all safety protocols, fire regulations, and local ordinances applicable to the event venue in Los Angeles. Lumina Pulse Productions will advise on best practices, but ultimate compliance rests with the client. Emergency response procedures are always established in cooperation with the venue and client.
